ABOUT THE EXECUTIVE PERSONAL ASSISTANT

The Executive Personal Assistant to the CEO provides essential administrative and personal support to ensure the CEO's priorities are managed with accuracy, care, and efficiency. This role requires someone who is highly organized, adaptable, and responsive in a dynamic and fast-paced environment. Responsibilities span administrative coordination, personal errands, vendor and household management, and oversight of calendars and email communication. Strong foresight, independent problem-solving, and an ability to anticipate needs are critical for success.

TO BE SUCCESSFUL YOU MUST
  • Manage the CEO's comprehensive calendar, including scheduling across business, household, school, and rental property needs
  • Coordinate meetings and track follow-up actions
  • Screen and triage incoming communications; manage emails and draft responses as needed
  • Coordinate business and personal travel arrangements, including itineraries and logistics
  • Prepare and maintain digital files, reports, and documentation (e.g., Dropbox, expense records)
  • Process and code business-related expense reports and reimbursements
  • Schedule and manage personal and family appointments
  • Coordinate with care providers, ensuring coverage and completion of tasks
  • Organize and maintain digital filing systems for household and family documents
  • Manage errands, reservations, purchases, and general personal logistics
  • Oversee maintenance and operations of the CEO's primary residence and rental property
  • Coordinate with contractors, vendors, and service providers to ensure timely and high-quality work.
  • Manage bookings and guest communication for rental properties, ensuring readiness and satisfaction
  • Oversee and support home technology systems and coordinate service as needed
  • Execute errands such as pickups, deliveries, shopping, and urgent requests
  • Provide on-site support for projects, meetings, and events as directed

Requirements

  • 3-5 years of experience high-level executives or cross-functional leadership
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive) and Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong calendar and inbox management skills
  • Familiarity with Apple products, Dropbox, and coordination apps
  • Effective written and verbal communication
